Add Sections, Tasks, and Key Dates to Task List

Add action items and important dates to project manage deal or company activities.

Create a task list, then add sections, task items and key dates to the task list.

💡 Things to Consider:

Any user who has access to the Task List can make changes to the Task Items or Key Dates at any time. Check the Task Item Activity or the Key Date Activity to view a list of changes made on any task.

⚙️ Steps

Add Sections to the Task List

  1. Sections can be added to any task list. To add a section, select "+Add Section" or use the hotkey shortcut by typing Ctrl+ (or Command+).

  2. The new section will appear in the center pane and a sidebar will appear where the Section Title and other details can be entered.

     



    Section Title - These are the section headers that will appear in the Task List.
    Assigned To - Assign the entire section to a specific user.
    Enable Section when Deal Reaches Status - Select a deal status from the dropdown and task items will be collapsed in the section and will be greyed out until the deal reaches the selected status.
    Followers (Users) - Create a distribution list to keep other users informed on updates to this section
    Description - (Optional) Use this to provide more context around what types of Task Items should be added to this section.
    Activity - View the change history for this section header.

  3. Repeat these steps to add additional sections as needed.

  4. To remove any sections, select the ⁝ icon in the section sidebar, then select "Delete".

  5. Changes to section fields will save automatically.

 

Reorder Sections

  1. Hover to the left of the section name until "Drag Me" appears.

  2. Drag and drop the sections to reorder.

Collapse and Expand Sections

  1. Select the chevron icon to collapse or expand the section.

 

Add Task Items to the Task List

  1. Select "+ Task" to create a new task item nested under the section.

  2. The new task item will appear in the center pane and a sidebar will appear where the Task Item title and other details can be entered.



    Task Title - This is the label for the task item.
    Status - Track the progress of this task item as it moves toward completion.
    Assigned To - Assign this task item to a user or a task role - Learn more about Task Roles - Add Task Roles.
    Start Date - Note the date that this task should be started.
    End Date - Note the date that this task is due. Once the task is marked complete, the field will reflect the actual completion date and no longer be editable. 
    Duration - The duration is considered the time it takes to complete the activity; from the time it starts (start date) to the actual completion date (end date).
    Predecessors- If the task you are adding is dependent on the start/finish of another task, add task Predecessors. If the predecessor task end date is updated, all dependent task due dates will be updated to follow. Learn more about how to set up predecessors - Add Task Predecessors
    Followers (Users) - Create a distribution list to keep other users informed on updates to this task item.
    Description - (Optional) Use this to provide more context around how to complete this task item.
    Checklist - Add items to a checklist within the task item
    Subtasks - Add additional tasks to the task item. Assignees or followers are notified any time a new subtask is added to a task.
    Attachments - Upload files to associate to this task.
    Comments - Keep teammates updated and collaborate by adding comments.
    Activity - View the change history for this task item

  3. Repeat these steps to add additional task items as needed.

  4. To remove any task items , select the ⁝ icon in the task item sidebar, then select "Delete".

  5. Changes to task item fields will save automatically.

Add Key Dates to the Task List

  1. Select "+ Key Date" to create a new date item nested under any section.

  2. The new Key Date item will appear in the center pane and a sidebar will appear where the Key Date can be named and other details can be entered.

  3. Enter additional information around the key date into the side panel.
    Key Date - label the key date with a descriptive name. This will be viewable from the task list.
    Assigned To - Associate any user as an assignee responsible for managing this key date.
    Start Date - Use this field to set the key date as a date range.
    Due Date - Use this field to set the key date end date.
    Followers - Use this field as a distribution, allowing other users to stay up to date on updates
    Description - Add additional context to the key date.
    Activity - View the change history for this Key Date.

  4. Changes to key date fields will save automatically.
